HOW TO RUN FOR AN OFFICER POSITION:
If you would like to run for a position, you must submit a 250 to 300 word essay stating the position you are submitting your candidacy for, why you are running for that position and what you will bring to the organization. Essays must be e-mailed to Vice President Alena Pochop (alenapochop@gmail.com) and President Ashley O’Brien (aroseobrien@gmail.com) no later than Monday, April 6 at midnight.
Also, please be prepared to deliver a brief, no more than five minute speech and answer any member questions about your choice to run for your chosen position at the chapter meeting at 6 p.m. on Wednesday, April 8 (location TBA). Your attendance at this meeting is required if you have submitted an essay and plan to run for an officer position. If you submit an essay and are not present at the meeting, you will not be included as a candidate on the voting ballot.
For the opportunity to learn more about officer positions, you are welcome to join the current executive board at our officer meeting on April 1 at 6 p.m. in DBH 225. OFFICER POSITION DESCRIPTIONS:
The President shall:
- Motivate members through enthusiastic attitude toward PRSSA
- Help plan the PRSSA Regional Activity
- Provide bi-weekly reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meeting
- Provide support for all Executive Board Members
- Keep the Executive Board Members on track
- Stay in contact with PRSA, SJSU, Professors, other schools, corporate relations and National PRSSA
- E-mail weekly reports to Executive Board on contacts
- Attend all PRSA meetings
- Create databases for PRSA, SJSU, Professors, other schools, companies and National PRSSA and keep them updated
- Create and maintain a job binder
- Write a minimum of one article for monthly newsletter
- Assist in establishing and maintaining professional relations with our current and future contacts
- Coordinate and direct committee activities and chapter operations
- Serve as a member on all committee meetings
- Run Executive Board Meetings
- Attend all PRSSA events
The Vice President shall:
- Motivate members through enthusiastic attitude toward PRSSA
- Chair the School of Journalism & Mass Communications Spring Convocation
- Help plan the PRSSA Regional Activity
- Coordinate executive board elections
- Provide bi-weekly reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meetings
- Provide support for all Executive Board Members
- Head Membership Committee
- Coordinate and implement recruiting events (at least once a month)
- Maintain an associate database on interested students, and contact them through e-mail
- Update and provide PRSSA with an Info Packet for new and returning members throughout the semester (include Exec. and committee info)
- Head recruitment tables during the semester
- Create a mini PowerPoint presentation for recruitment
The Secretary shall:
- Motivate members through enthusiastic attitude toward PRSSA
- Prepare agendas with the help of the president
- Record minutes of all executive board meetings and member meetings
- Maintain a record of all chapter members
- Notify PRSSA Headquarters of changes in chapter officers and advisors
- Send weekly update e-mails to members from Gmail account
- Check into yahoo account daily
- Send thank you notes to all guest speakers
- Send birthday cards to members
- Provide weekly e-mail reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meetings
The Treasurer shall:
- Handle all chapter correspondence
- Motivate members through enthusiastic attitude toward PRSSA
- Work with the chapter president in preparing the annual budget
- Collect chapter and national dues each semester
- Provide financial reports at each chapter meeting
- Provide financial reports weekly to the Executive Board
- Collect fees for any chapter special events and fundraisers
- Disburse chapter funds with the proper approval
- Coordinate sponsorships for chapter
- Work to establish scholarship for members
- Create a mini PowerPoint presentation for sponsorships
- Provide potential sponsors with our Sponsorship Package and other requested information
- Head Fundraising Committee
- Establish potential sponsorships and other means of raising funds for the organization
- Provide weekly e-mail reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meetings
The Newsletter Editor shall:
- Motivate members through enthusiastic attitude toward PRSSA
- Produce chapter newsletter on a monthly basis throughout the school year
- Head Newsletter Committee
- Work with PR Director in submitting articles to PRSA and PRSSA Nationals
- Provide weekly e-mail reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meetings
The Webmaster shall:
- Motivate members through enthusiastic attitude toward PRSSA
- Produce and oversee chapter Web site
- Update Web site in timely manner
- Produce and oversee chapter news on the national Web site
- Work with Newsletter Editor and PR Director
- Provide weekly e-mail reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meetings
(Though it’s not required of the webmaster, I would also like my replacement to don a cape and fight crime on the weekends.)
The PR Director shall:
- Help promote recruitment and retention to not only PR students but students campus-wide
- Motivate members through enthusiastic attitude toward PRSSA
- Assist the president in coordinating and directing committee activities and chapter operations
- Head Publicity Committee
- All flyers and promotional items are to be completed at least 12 days before the actual event
- Post announcements for chapter meetings throughout campus a minimum of 1 week before the event
- Communicate with other PRSSA Board Members and collect and organize flyers that will need to be provided at events
- Coordinate press releases, feature articles, and advertising brochures relating to the chapter
- Handle all campus area press issues
- Keep the PRSSA bulletin board current and visually appealing
- Submit dates of events to the Sparta Guide 1 week prior to each event
- Coordinate all meetings and socials for the semester
- Provide members with a Bio and Company information (“Sneak Peak Sheet”) from participating speakers and companies
- Come up with innovative ways of providing members with networking opportunities
- Provide weekly e-mail reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meetings
The Historian shall:
- Motivate members through enthusiastic attitude toward PRSSA
- Maintain and record history of chapter so it can be passed on from year to year
- Add on to PRSSA scrapbook each semester
- Coordinate photography for the chapter
- Provide weekly e-mail reports on status of projects (including work in progress, work completed and new or suggested ideas or projects)
- Speak to classrooms about upcoming events and meetings
